Privacy Policy

1. Overview

This Privacy Policy explains what information Student Hub ("we", "us") collects when you use the platform, how we use it, and the choices you have. Student Hub is built for high school students, so we try to collect only what's needed to make the Journey Planner, Opportunity Hub, Student Passport, Service Hour Manager, AI Coach, and Essay Studio work.

2. Information we collect

You provide most of this directly when you create and use your account:

• Account info: name, email address, grade, and password (stored as a secure hash — we never store your plain-text password).
• Activity content: your journey steps and goals, saved opportunities, Student Passport entries, logged service hours, AI Coach conversations, and essays you submit for feedback.
• AI input: the messages you send to the AI Coach, the essay text you submit to Essay Studio, and the audio you record in the AI Presentation Coach.
• Practice recordings: for the AI Presentation Coach, we keep the audio of your five most recent practice sessions so you can listen back. Older recordings are deleted automatically; the scores, transcript and feedback for those sessions remain. Camera frames and slide images are never stored — they are used only to score the session and then discarded.
• Uploaded documents: files you upload to Essay Studio or the Student Passport importer. We keep the text extracted from them (as your essay draft or passport entries); the original file itself is not stored.
• Technical info: a session cookie used to keep you logged in (see our Cookies Policy), and basic first-party usage events (like which pages and features you use) so we can improve the product and troubleshoot issues.
• Feedback: anything you submit through the in-app feedback widget.

3. How we use your information

• To operate core features: authentication, Journey Planner, Opportunity Hub, Student Passport, Service Hour Manager, AI Coach, and Essay Studio.
• To generate AI Coach responses and essay feedback.
• To understand product usage in aggregate and improve Student Hub.
• To communicate with you about your account (for example, responding to a support request you send us).

We do not sell your personal information, and we do not show ads.

4. AI processing

The AI Coach, Essay Studio, Presentation Coach, and the document/PDF importers are powered by Google's Gemini API. When you send a message, submit an essay, record a practice presentation, or upload a PDF, that content is sent to Gemini to generate a response, then discarded by the provider — it isn't used by Google to train their models. We keep a record of the token usage for each AI request (tied to your account and the feature used) so we can track costs; this is groundwork for a future usage-based plan and does not include the content of your messages or essays beyond what's needed to display your own conversation history back to you.

5. Who can see your information

Unlike some platforms, Student Hub does not make your profile, journey, passport, or essays visible to other students — that content is private to you. Site administrators can access aggregate usage data, feedback submissions, and account information (such as your name, email, and activity counts) to operate and support the platform. Admins cannot read the content of your AI Coach conversations or essays through the admin tools.

6. Data retention

We keep your account and activity data for as long as your account is active. If you delete your account, we remove your journey items, saved opportunities, passport entries, service hours, AI Coach messages, essays, practice-presentation sessions and any stored recordings, feedback, and AI usage records. Telemetry events tied to your account are anonymized (disconnected from your identity) rather than deleted, so aggregate product analytics stay intact.

7. Your choices

• You can view your account details from Account Settings.
• You can request a copy of your data or deletion of your account by emailing us.
• Parents/guardians of students under 18 may contact us with questions about their student's account.

8. Security

We use industry-standard measures such as password hashing (scrypt) and secure, httpOnly session cookies to protect your account. No online service can guarantee perfect security, so please use a strong, unique password.

9. Children's privacy

Student Hub is not directed at children under 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has created an account, please contact us and we will delete it.

10. Changes to this policy

We may update this Privacy Policy as Student Hub evolves. Material changes will be reflected in the "Last updated" date above.
